How we use your information

This notice explains what personal information the Aspland House website collects, why, and how you can exercise your rights under UK data protection law.

Who we are

The enquiry form

When you send an enquiry we receive the details you enter: your name, email address, optional phone number, requested dates, number of guests, preferred room type and your message. We use this information to check availability, answer your questions and, if you go on to book, to manage your stay. Our lawful basis is taking steps at your request before entering into a contract, and our legitimate interest in responding to enquiries.

Form submissions are delivered to our mailbox by email. Where a form-delivery provider is used to relay submissions, the provider processes the data only on our behalf and under our instructions.

Our email is hosted by Google (Gmail), and any form-delivery provider we use may also store submissions outside the UK. These transfers are covered by the UK-US Data Bridge (the UK Extension to the EU-US Data Privacy Framework), and the provider acts only on our instructions.

How long we keep it

We keep enquiry emails for as long as needed to deal with your enquiry and any resulting booking, and then delete them. Records of actual stays are kept for as long as UK law requires for guest accommodation, after which they are securely deleted.

Cookies and third-party content

This website does not set cookies of its own and does not use analytics or advertising trackers. The fonts and scripts it needs are served from our own website.

The map in the Location section is provided by Google Maps and is loaded only if you press "Show interactive map". When you do, your browser connects to Google, which may set cookies and process your IP address in line with Google's privacy policy.

Our hosting provider keeps standard web-server logs, including IP addresses, for security and troubleshooting. These are retained for a short period and are not used to identify visitors.

Sharing your information

We do not sell or share your personal information with anyone for their own marketing. We share it only with service providers who help us run the website and handle enquiries, and where the law requires it.

Your rights

You have the right to ask for a copy of the information we hold about you, to have it corrected or deleted, to object to or restrict how we use it, and to withdraw any consent you have given. To exercise these rights, email thesuiterooms@gmail.com. If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk.

Changes to this notice

We will update this page if the way we handle personal information changes. The date at the top shows when it was last revised.
